Forms, photos, and files
Use job forms for structured information and the job's files area for photos and attachments. These records help preserve what happened on site without putting every detail into the job title or instructions.
Add forms
Attach saved templates or create a one-off form while preparing a job or from its form management area. You can save a reusable form as a template for future work. Manage company templates through Job Settings → Forms.
Forms support text, numbers, checkboxes, single and multiple selections, dates, photos, and signatures. Fill in the fields, review the answers, and use the form's save action.
A template marked Company Default is added to new jobs. Required fields and forms configured as required for completion can prevent completing a job until the missing information is supplied. Follow the list of missing forms shown by the completion check.
Photos and files
Open the job's photos/files page and use Take Photo, Choose from Gallery, or Choose File. Wait for the upload to finish before leaving. You can review, reorder, and remove attachments using the available controls.
An existing job file can be attached to a form's photo field. Select the target field or fields; already attached files and field limits affect the available choices. This lets you reuse evidence without uploading the same file again.
Internal and public files
New files are private by default. Use Set Public only for files you want included in the job's public gallery. Set Internal removes them from that public view while keeping them on the job.
The gallery link is not sent automatically. Copy it when you want to share it with the customer. Only files marked public on this job's files screen are included; files belonging to other documents in the project are not automatically shared.
Before sharing, open the gallery and check its contents. A saved signature or completed form should not be assumed to be public just because its job has a gallery link.
Templates and historical records
A reusable template and a filled job form are different records. Review the form attached to the particular job when checking what was collected. Do not assume changing a company template will rewrite previously recorded answers.
For the connected quote, invoice, and expense records, use Projects within a job.
