Create and edit quotes
Create a quote in the mobile app, or choose Add Document → Quote from the project panel on related work. Starting from a project keeps the quote connected to that work and can preselect the client.
Prepare the quote
- Select the Client and check their details.
- Add the items that describe the proposed work.
- Review quantities, prices, Tax Treatment, and any discount.
- Choose Payment Terms and Expiry.
- Review Quote Note and Terms & Conditions.
- Choose whether to Send Email and check Recipient Email if enabled.
- Continue to the preview and review the finished document.
A client is required before review and issue. A valid recipient email is required when sending an email, but you can issue a quote without emailing it immediately.
Add items and prices
| Item source | What to review |
|---|---|
| Custom line | Describe the work and enter its quantity and price. |
| Price Book | Check the saved service, price, unit, and any client-specific pricing. |
| Expense | Check the eligible expense's amount and tax compatibility before including it as a charge. |
Edit ordinary lines while preparing the quote. Expense-derived lines are linked records and cannot be edited like custom lines. The picker limits which expenses can be added; currency, tax treatment, tax rate, and existing links can affect eligibility.
The current mobile quote editor uses AUD. Check the displayed amounts and do not assume that a client's preferred currency changes the quote currency.
See Use prices on documents, Client-specific pricing, and Link expenses and charge customers. Adding an expense as a quote line proposes a customer charge; it does not record a customer payment.
Tax and discounts
Review the tax treatment and totals against the work you are quoting. A percentage or fixed discount changes the proposed price. Check the final total after editing quantities, tax, or discounts, and make sure the wording still describes what is included.
Payment terms and expiry are different
Payment Terms controls the payment wording on the quote. It does not issue an invoice or collect money.
Expiry sets the acceptance window. The mobile choices are 1, 3, 7, 14, 30, 45, 60, or 90 days. The expiry date is calculated at issue using the business timezone. Saving a draft does not start the acceptance window.
Check the date in the preview, particularly if the draft has been waiting for some time. See Client decisions for what happens after expiry.
Save and edit a draft
Tap Save Draft beneath the main issue action in the preview. This saves your work without issuing the quote or emailing the client. Reopen the draft to continue editing and preview it again before issue.
The suggested quote number is provisional until issue. A draft does not reserve or save that number, so the final number can differ. Resolve any duplicate-number message if you enter a number yourself.
Use Actions → Delete Draft when an unissued draft is no longer needed. Issued quotes retain their issued document; use the status and changed-scope guidance when the proposal needs to change after issue.
