Manage quote status

Use the Quotes list to find a saved quote. Search and the ALL, DRAFT, ISSUED, ACCEPTED, REJECTED, and CANCELLED quick filters help narrow the list. Check active filters if a quote seems missing.

Understand the status

StatusMeaning
DraftSaved work that has not been issued.
IssuedA finalised proposal; check delivery and expiry separately.
AcceptedA client decision or acceptance recorded on their behalf.
RejectedA rejection has been recorded.
ExpiredThe acceptance window has ended.
CancelledThe business withdrew an issued quote or cancelled an accepted quote.

Withdraw Quote is an action that produces a Cancelled status, rather than a separate withdrawn status. The quote retains its history.

Record acceptance on the client's behalf

  1. Open an issued quote that has not expired.
  2. Choose Mark as Accepted.
  3. Check the client and total in the confirmation.
  4. Add an optional private note, such as how the client confirmed.
  5. Slide to accept and check the updated status.

Use this after the client has agreed. It records their decision; it does not send the client through the online confirmation flow.

Record rejection

On an eligible issued quote, choose Actions → Reject Quote and slide to confirm. Use rejection for a client decision not to proceed. If your business is taking the offer back, use withdrawal instead.

Available actions depend on the latest state. If another person has already acted, refresh and check the outcome before repeating an action.

Withdraw an issued quote

Choose Withdraw Quote when an issued proposal should no longer be available. You can add a Private note (optional) and choose whether to Send cancellation email.

With the email enabled, tap Review cancellation email, check the message, and confirm. With it disabled, confirm the withdrawal directly. The quote becomes cancelled; disabling the email does not notify the client of your change.

Cancel an accepted quote

Use Cancel Accepted Quote when approved work is no longer proceeding and the action is available. Review the optional private note and cancellation-email choice as above.

An accepted quote cannot be cancelled when it is linked to an issued invoice. Check the related invoice and its correction options instead of assuming a quote action will undo billing. Cancelling a quote is also not a substitute for reviewing any related job or booking separately.

Change the proposal after issue

Drafts can be edited. For changed scope or pricing after issue, prepare a new quote in the same project and review its contents and expiry. The project Add Document → Quote flow creates another record; do not assume it duplicates all lines or automatically replaces the previous quote.

Where appropriate and permitted, withdraw or cancel the old proposal so its status reflects what happened. Share the new quote with the client and obtain a decision on it. An earlier acceptance does not automatically apply to a new proposal.
