Client-specific pricing

Client-specific prices let you keep agreed rates for one client without changing your standard company prices. For example, you might save a regular maintenance rate for a property manager while keeping a different general rate for other customers.

These are separate Price Book entries. A client price does not automatically replace a company price with the same name; choose the appropriate entry when preparing the document.

Create a price from the client record

  1. Open Clients and select the client.
  2. Tap Add Document, then choose Price book item.
  3. Complete the name, optional description, rate, unit label, and tax treatment.
  4. Tap Save Price Book.

The creation screen confirms that the item will be available only for that client. The same field limits and positive-rate requirement apply as for company prices.

You can also create a reusable client price while adding a new quote or invoice line. In Save item to, choose Save to [client name]. See Use prices on documents.

Find and manage client prices

From the client's details, tap Search and select Price Book. This shows that client's saved prices. Open an item to edit its details, review activity, or use the available delete, archive, or restore action.

Client-only entries do not appear in the main company Price Book list. If you cannot find a negotiated rate there, look in the client's record instead.

Use the agreed rate

Choose the client on the quote or invoice before opening the Price Book picker. Active prices for that client appear first, followed by active company prices. Prices saved for other clients are not offered.

Select the correct price and review the document line. The saved unit label does not set the quantity, and the document's tax and discount settings still apply.

Updating an agreement

Edit the client's saved price and tap Save when the agreement changes. Documents that already contain the old rate retain their existing line values; review any draft documents separately if they need the new rate.

A price's client assignment is not editable in its details. To make a similar rate available to everyone, create a separate company price. Archive an old client price when it should no longer be offered and the app provides that action.
