Use prices on documents

Price Book helps you prepare quote and invoice lines quickly. Choose the document's client first so the picker can include any prices saved specifically for that client.

Add saved prices

  1. Open the quote or invoice you are preparing and use its add-line-item action.
  2. Open the Pricebook tab in the picker.
  3. Search or browse, then select the items you want.
  4. Tap Add Selected to add them to the document.
  5. Review each line's quantity, rate, description, and tax treatment.

Newly selected saved items start with quantity 1. Change it to the amount of work or number of units you want to charge. A rate of 60 per hour with quantity 2 gives a line amount of 120 before any applicable tax or discounts.

You can select several prices at once. A saved price already linked to the document is disabled in the picker; edit the existing line's quantity or details instead of selecting it again.

What is copied

The document takes the saved name, description, rate, unit label, and tax treatment as starting values. It calculates totals using the document's settings and your chosen quantity.

The document keeps those values independently. If you later change the Price Book rate, an existing quote or invoice keeps its previous line values. Likewise, adjusting a line for one job does not change the saved rate for future work.

Create a price while preparing a document

Choose Create Price in the picker to enter a new line. Where the Save item to selector is available, choose how you want to reuse it:

The client option needs a selected client. Saving for reuse creates a new entry; it does not overwrite another price just because the names match. Demo documents do not offer saving real Price Book entries.

If an item is missing

Check whether it is archived, already on the document, or saved for a different client. Clear the picker search to see the full available list. For an archived item, restore it before trying again.

When browsing without a search, the picker follows saved custom order and places matching client-specific prices before company-wide prices. To change the order of company prices, use the main Price Book list.
