Manage prices
Open Price Book from the settings menu in the mobile app. The main list contains your company-wide prices. Use Active for current prices or Archived for items you have retired.
Create a price
Tap Create Price Book, complete the fields, and tap Save Price Book. The app opens the saved item's details after a successful creation.
| Field | How it works |
|---|---|
| Name | Required, up to 100 characters. Used as the document line's name. |
| Description | Optional, up to 180 characters. Appears below the line-item name. |
| Rate | Required and greater than zero. Enter the amount in your business currency. |
| Unit label | Choose per hour, per item, per sqm, per day, flat rate, or None. |
| Tax Treatment | The default treatment to use when tax is enabled on the document. |
Use a recognisable name such as “Regular lawn mowing” and a description that explains what the rate includes. Separate entries can be useful for services with different rates or inclusions.
Rates, units, and tax
Price Book rates are stored as tax-exclusive amounts. The quote or invoice applies its own tax settings when you add the item.
The Tax Treatment selector offers Taxable sale, GST-free sale, Input-taxed sale, and Outside GST scope. This is a saved default, not a switch that enables GST on every document. Review the document's tax setup and selected treatment before sending.
A unit label explains the rate; it does not measure work or fill in the quantity for you. For example, a per hour price still needs the number of hours on the document. Use quantity 1 for a single flat-rate charge.
Edit an existing price
- Open the item from the list.
- Edit its name, description, rate, unit label, or tax treatment.
- Dismiss the keyboard if needed to reveal Save, then tap it.
- Wait for confirmation before leaving.
Edits on the details screen remain unsaved until you tap Save. Leaving with pending changes prompts you about discarding them. Swipe to the item's Activity page to review recorded changes after finishing your edits.
Updating a saved rate affects future selections. Existing document lines keep the details they already contain.
Find a price
Tap the search field and search by name. Search includes both active and archived company prices, so check the item's status if it is missing from a document picker. Client-only prices are found through their client record.
Use the sort control to switch the list order. Reorder prices explains how to save a custom order.
Delete or archive
Open a price and tap the bin icon in the top bar. The app checks whether the item has been used on an invoice, credit note, or quote before choosing the action to show.
| Action shown | Meaning |
|---|---|
| Permanently Delete | The item has no linked invoice, credit note, or quote references. Slide to delete if you want to remove it permanently. This cannot be undone. |
| Archive Price | The item has document references. Slide to archive it so it is no longer offered in quote and invoice pickers. Existing document lines remain intact. |
Read the confirmation sheet before sliding—the bin icon can lead to different actions. Save any edits you want to keep before archiving; the app can ask you to discard pending edits before proceeding.
Restore an archived price
Select Archived, open the item, tap the top-bar action, and confirm Unarchive Price with the slider. The price becomes available in document pickers again.
Archived details are read-only. Restore the price before editing its name, rate, or other fields.
