Notes, activity, and history
TREVY keeps your client information, activity, and related work together so you can easily review a customer's history.
You can save notes about a client, keep access instructions for individual properties, review past activity, and find related jobs and financial documents.
Client notes
Each client has one free-text note where you can keep information you want close at hand.
For example, you might use it for customer preferences, reminders, or other details you want to see when working with that client.
Add or edit a client note
- Open the client.
- Tap the note icon in the top-right corner.
- Enter or edit your note.
- Close the note sheet.
TREVY saves the note automatically when you close it.
You can open the note again whenever you need to review or update it.
One note per client
Each client has a single free-text note that you can update over time.
For information about a particular property's access requirements, use location access notes instead.
Location access notes
Access notes belong to a specific location rather than the client as a whole.
They're intended for information that helps you access or work at an address, such as:
- Gate codes.
- Parking instructions.
- Entry information.
- Other property-specific access details.
You can add or edit access notes when creating or editing a location.
When you select that location for a new job, TREVY copies its access notes to the job.
This keeps the property's saved information available while allowing the job to have its own access note.
See Locations for more information about managing addresses and access notes.
Client activity
The Activity page provides a timeline of events associated with a client.
To view it:
- Open the client.
- Swipe to the second page of the client details screen.
The dots at the top indicate which page you're viewing.
What's recorded
The activity timeline includes events such as:
| Event | Description |
|---|---|
| Client created | When the client record was created. |
| Client archived | When the client was archived. |
| Client restored | When an archived client was restored. |
| Website lead generated | When a website lead was generated. |
| Website lead converted | When a website lead was converted. |
| Website lead closed | When a website lead was closed. |
Where an activity entry relates to a website lead, you can open the lead directly from the timeline.
Activity is read-only
The activity timeline records what happened with a client.
Activity entries cannot be edited.
View a client's work and financial history
The summary card at the top of the client details screen provides an overview of the client's work and financial information.
| Summary | Description |
|---|---|
| Paid | The total amount paid. |
| Jobs | The number of jobs. |
| Outstanding | The unpaid invoice balance. |
| Credit | Available credit, shown when the client has any. |
If the client's documents use multiple currencies, a currency selector lets you switch between the totals.
Find related records
Select Search from the client details screen to open the document finder.
You can browse and search the client's:
- Jobs
- Invoices
- Quotes
- Credit notes
- Price Book items
Switch between document types to narrow the results, then search within the selected category.
Tap a result to open the corresponding record in its own area of TREVY.
Find clients with outstanding work
You can also use the quick filters on the Clients tab to find customers who need attention.
For example:
- JOBS shows clients with active jobs.
- OVERDUE shows clients with overdue invoices.
- QUOTE shows clients with issued quotes.
See Create and manage clients for the full list of search and filtering options.
