Locations
Locations are the addresses associated with a client, such as homes, rental properties, offices, or other places where work takes place.
A client can have as many locations as they need.
Each location can store its own address, name, access notes, and contacts. You can also choose which addresses TREVY uses as the client's primary and billing locations.
Understanding location types
TREVY allows you to designate two locations for special purposes.
| Location type | Purpose |
|---|---|
| Primary location | The client's main address. |
| Billing location | The address used for invoices. |
The first address you add to a client automatically becomes both the primary and billing location.
You can assign separate addresses later.
For example, a property manager might have an office as their billing location while individual rental properties are saved as separate locations for jobs.
One client, multiple addresses
You don't need to create a separate client for every property.
Save each property as a location under the same client to keep their work and documents connected to one customer record.
Add a location
To add a location to an existing client:
- Open the client.
- Tap + in the Locations & Contacts card.
- Select Add location.
The Address screen opens.
Enter location details
You can add the following information:
| Field | Description |
|---|---|
| Location Name | An optional name, such as "Office" or "Rental". |
| Address | Search for or manually enter the address. |
| Access notes | Information such as gate codes, parking instructions, or entry details. |
| Location contact | A person associated with the address. |
Select Save Address when you've finished.
The location is added to the client.
You can also add the client's first address when creating a new client.
See Create and manage clients.
Access notes
Access notes help you keep property-specific information close at hand.
For example, you might record:
- Gate or entry instructions.
- Parking information.
- Directions for accessing the property.
- Other details needed when attending the address.
When you use a location for a new job, TREVY copies the location's access notes to that job.
Access notes are copied to jobs
Access notes are saved against the location and copied when you create a new job using that address.
You can then change the job's access note without changing the information saved against the location.
View and edit a location
Open the client and tap the location in the Locations & Contacts card.
The location details screen lets you manage its information.
Location name
Edit the Location Name to give the address a recognisable label.
Changes save automatically.
If a location doesn't have a name, TREVY displays its address instead.
Address
You can update the saved address or open it in your device's maps app.
Access notes
Edit the location's access notes to keep the property's access information up to date.
Contacts
View and manage the contacts associated with the location.
You can add contacts, attach existing contacts, and choose a primary contact.
See Contacts for more information.
Set primary and billing locations
Locations display a Primary and/or Billing label when those roles apply.
You can change these roles from the client details screen.
Set a primary location
- Open the client.
- Tap a location that isn't already primary or billing.
- Select Set as primary.
TREVY makes this the client's primary location, replacing the previous one.
Set a billing location
- Open the client.
- Tap a location that isn't already primary or billing.
- Select Set as billing.
TREVY makes this the client's billing location, replacing the previous one.
If a location is already both primary and billing, tapping it opens the location directly.
Separate service and billing addresses
A client can have one address where work takes place and another address used for billing.
For example, you can save a rental property as a job location while keeping the property manager's office as the billing location.
Location contacts and job communication
Each location can have one primary contact.
When you select a location for a job, TREVY checks whether a primary contact is assigned.
If the location has a primary contact:
- That person becomes the job's contact.
- Their email becomes the job's communication email.
If the location doesn't have a primary contact, TREVY uses the client instead.
You can also choose a different contact for an individual job without changing the saved location.
See Contacts for details about selecting contacts and managing job communication.
Delete a location
To delete a location:
- Open the location.
- Tap the bin icon in the top-right corner.
- Confirm the deletion.
Deleting a location removes the address and its access notes.
It doesn't delete:
- The client.
- The client's other locations.
- The people saved as contacts.
If the deleted location was designated as primary or billing, TREVY unsets that designation.
Location deletion cannot be undone
Deleting a location is permanent.
Make sure you no longer need the saved address and its access notes before deleting it.
