Create and manage clients
A client record connects a customer with their contacts, locations, jobs, quotes, invoices, and other documents.
This guide explains how to create clients, keep their information up to date, find existing customers, and manage records you no longer need.
Create a client
You can create a client from several places in the mobile app:
- Clients tab: Tap the + button.
- Global add button: Use the + button available on the main pages.
- Home: Select Add a client from the Get started card.
- Jobs and documents: Create a client while preparing a job, quote, invoice, or credit note.
All of these options let you create a new client without needing to complete any work beforehand.
Enter client details
On the New Client screen, enter the customer's information.

You can also enter a location name, access notes, and a location contact while creating the client.

Your client's first address
When you add the first address to a client, TREVY automatically uses it as both the primary location and billing location.
You can change these later if the customer has separate service and billing addresses.
Select Save Client to create the record.
TREVY opens the new client's details after saving.
Import from your device contacts
You can import customer information directly from your phone's contacts.
- Open the New Client screen.
- Tap the contacts icon in the top-right corner.
- Select a contact from your device.
TREVY imports the available name, email, phone number, and address.
Your device will ask for permission the first time you use this feature.
Create a client while preparing a job or document
You don't need to visit the Clients tab first.
While creating a job, quote, invoice, or credit note:
- Open the client picker.
- Select Create New Client.
- Enter the client's information and save.
TREVY creates the client and returns you to the record you were working on.
This lets you add customers as you need them without interrupting your workflow.
How default contacts work
When you select a client for a job, invoice, quote, or credit note, TREVY uses the client as the default contact.
The client's email is also used as the default recipient.
For jobs, the selected location can change which contact is used.
If the location has a primary contact, TREVY uses that person for the job instead of the client. If no location contact applies, the client remains the default.
Defaults can be changed
You can change a job's contact or a document's recipient without changing the saved client or location.
For example, you can email an invoice to a different person without changing the client's email address.

Edit client details
To edit an existing client:
- Open the Clients tab.
- Find and select the client.
- Edit the relevant field on the client details screen.
The following fields save automatically when you finish editing them:
- Name
- Phone
- Tax ID
There is no separate save button for these changes.
If a value isn't valid, TREVY displays a validation message and doesn't save the change until it is corrected.
Call or email a client
The client details screen includes phone and email icons beside the corresponding fields.
Tap either icon to call or email the client using your device.
Navigate the client details screen
The client details screen has two pages, indicated by the dots at the top.
Swipe between them to access:

Find a client
Open the Clients tab to browse your customers.
Search
Use the search field to find clients by:
- Name
- Phone number
- Email address
Filter your clients
Use the quick filters to narrow the list.

| JOBS | Clients with active jobs. |
| OVERDUE | Clients with overdue invoices. |
| QUOTE | Clients with issued quotes. |
| ARCHIVED | Archived clients. |
You can also use the arrow button to switch the list between newest first and oldest first.
Tap a client to open their details.
View a client's jobs and documents
The summary card at the top of the client details screen provides a quick overview of the customer's work and financial information.
| Summary | What it shows |
|---|---|
| Paid | The total amount paid. |
| Jobs | The number of jobs. |
| Outstanding | The unpaid invoice balance. |
| Credit | Available credit, shown when the client has any. |
If the client's documents use more than one currency, a currency selector lets you switch between the totals.
Find related records
Select Search from the client details screen to open the document finder.
You can browse and search the client's:
- Jobs
- Invoices
- Quotes
- Credit notes
- Price Book items
Switch between document types and search within the selected category.
Selecting a result opens the record in its own area of TREVY.
Create a document for a client
Select Add Document from the client details screen.
You can create a new:
- Job
- Invoice
- Quote
- Price Book item
The new record is created for the client you have open.
Accounting integrations
If the client is linked to an accounting provider such as Xero, an additional status card appears on the client details screen.
This card shows the connection state and provides quick actions to sync the client or its files.

Archive a client
Archiving hides a client from your active lists without deleting their history.
The client's jobs, invoices, and other related records remain connected.
To archive a client:
- Open the client.
- Tap the bin icon in the top-right corner.
- If the client cannot be deleted, TREVY displays Archive Client.
- Slide to confirm.
The client is moved out of your active lists.
Archiving preserves history
Archiving is useful when you no longer work with a customer but want to keep their previous jobs, invoices, and other records.
It doesn't delete those records or remove their relationship with the client.
Find an archived client
Open the Clients tab and select the ARCHIVED filter.
Archived clients display an ARCHIVED label beside their name.
Restore an archived client
You can return an archived client to your active lists.
- Open the Clients tab.
- Select the ARCHIVED filter.
- Open the client.
- Tap the bin icon in the top-right corner.
- Select Unarchive Client and slide to confirm.
The client returns to your active lists.
Delete a client
TREVY only allows permanent deletion when the client hasn't been billed.
If a client has one or more invoices, TREVY offers Archive Client instead. This preserves the invoices and their relationship with the customer.
When a client is eligible for deletion:
- Open the client.
- Tap the bin icon in the top-right corner.
- Select Permanently Delete.
- Slide to confirm.
Deletion cannot be undone
Permanently deleting a client is irreversible.
If you want to keep the customer's history, use archiving instead when that option is available.
