Continue a workflow

Use Add Document from a job or document's project panel when the next record belongs to the same piece of work. The available choices commonly include Job, Quote, and Invoice.

Create the next record

  1. Open the saved record for the relevant project.
  2. Choose Add Document and select the record type offered.
  3. Review the client and prefilled details in the creation screen.
  4. Complete any missing schedule, contact, line items, or other required information.
  5. Save or send using that document's normal flow.

The creation flow preserves project context. Prefilling does not mean every source field is copied, and opening a creation form does not itself issue a document or notify the client.

From a quote to a job

A connected quote can provide a starting point for the work. Review the job location, primary contact, instructions, schedule, and email choices. The job remains a separate work record; creating it is not a substitute for checking the quote's acceptance status.

For extra attendance on an existing job, consider adding a visit instead of creating another job. Use a separate job when you need a separate record of work and progress.

Create an invoice from quotes

The Create From Quote flow can offer one or more quotes to prefill an invoice. Select eligible accepted quotes and review the resulting lines before issuing it.

Combining quotes requires compatible client, project, currency, tax settings, and discounts. The picker explains why an entry cannot be selected, such as Not yet accepted, Different tax setup, or Incompatible discount. Do not change an accepted agreement merely to bypass a picker restriction.

Check quantities, discounts, amounts, and any previous billing. Prefilled lines are a starting point and do not prove that the work has not already been invoiced.

Credit notes

A credit note relates to an invoice. Use the invoice's credit-note action, or a credit-note action offered in project context. If several invoices qualify, choose the correct invoice before continuing.

Draft invoices, demo invoices, and invoices already fully credited are not eligible in the project credit-note selection. Review the remaining amount and reason in the credit-note flow before posting it.

Demo projects

Demo projects limit the core workflow to the available job, quote, and invoice types, rather than allowing unlimited copies of each. They do not offer real project expense management. See Demo documents.

When returning to the project, check that the new record appears with the expected number and status. Sending, accepting, completing, paying, and crediting remain separate actions on their respective records.
