Manage invoices

Open a saved invoice to review its amount, payment position, and available actions. Actions change with the invoice's status: a draft can be edited, an outstanding invoice can accept a recorded payment, and a settled invoice may offer a payment confirmation.

Understand the status

PaidThe invoice is settled. Review the breakdown for how it was settled.

CreditedThe invoice has been fully credited. This does not by itself mean money was refunded.
Part refunded / RefundedRefunds have been recorded against collected money.

Use the balance and payment or credit breakdown alongside the status. The original total, money collected, credit applied, and money returned describe different things.

Stripe disputes and overpayment refunds can show their own labels, such as Dispute Open or Overpayment · Refunding. Follow the information shown on the invoice. A pending or failed refund is not a completed return of money, and recording another manual payment does not resolve a dispute.

Activity and notes

Use the activity view to follow recorded events such as issue, delivery, payments, and credits. Check it before repeating an action after an interrupted request.

The invoice's notes control gives you access to its notes. Keep the client-facing Invoice Note and Terms & Conditions under review in the document preview; supporting notes should not be assumed to appear on the invoice PDF.

Photos and files

Use the invoice's photos/files view to add supporting images, reorder them, or change their visibility. New files are private by default.

Files marked Public can appear through this invoice's gallery link. Internal files are excluded from that gallery. Copy and share the link yourself when needed; it is not sent automatically.

The gallery includes public files on this invoice only. It does not combine every file attached to the job, quote, or other records in the same project. Check visibility before sharing.

The project panel connects the invoice to related jobs, quotes, invoices, credit notes, and expenses. This is the same project document view used elsewhere in the mobile app.

Open an existing record to inspect it, or use Add Document to continue the work. When creating a credit note, select the invoice being corrected; a project may contain several invoices.

Read Connected documents for the shared panel and Expenses and financials for project totals. A draft invoice is not collected revenue, and a project's financial summary should not be read as a cash receipt list.

Accounting status

When accounting integration information is available, the invoice shows a separate accounting status card. Check it for sync progress or issues. Issuing an invoice in TREVY and syncing it to Xero are separate outcomes; an accounting error does not mean you should issue a duplicate invoice.

With Xero connected, invoice preparation can include a sales-account allocation, and recorded payments can include a Paid Into account. Review these choices against how you want the invoice and receipt recorded. Resolve the issue shown on the existing invoice before repeating a financial action.

Correct a saved invoice

Reopen a draft to edit it. For an issued invoice that needs a financial correction, use Credit notes and refunds. For an outstanding payment received elsewhere, use Record payments.
