Expenses
Expenses keep your business costs together with their supplier, date, amount, payment status, and receipts. You can link costs to work, set up recurring expenses, and check accounting status when Xero is connected.
Open Expenses from the mobile app's settings menu, or choose Expense from the create (+) menu. Use the swap icon on the Expenses screen to switch between expenses and suppliers.
Record your first expense
- Tap Create Expense and scan the receipt, or continue with manual entry.
- Select or create the supplier and review the description and category.
- Check the purchase date, amount, GST settings, and whether it has been paid.
- Add receipt images if needed, then tap Save Expense.
Creating expenses and scanning receipts require TREVY Core access. Expenses currently use AUD and Australian GST settings.
Recording a cost does not make a payment
Marking an expense paid records its payment status in TREVY. It does not transfer money to the supplier. Linking an expense to work also does not automatically charge your customer.
Expense guides
| Guide | What it covers |
|---|---|
| Create and manage expenses | Required fields, amounts, dates, filters, and editing saved expenses. |
| Scan and attach receipts | Receipt scans, supplier matching, photos, and upload troubleshooting. |
| Recurring expenses | Repeat schedules, generated records, upcoming previews, and stopping a schedule. |
| Link expenses and charge customers | Project costs, document links, and adding expense-based quote or invoice lines. |
| Suppliers | Reusable supplier details and default categories. |
| Accounting status | Xero status, account choices, receipt delivery, and sync issues. |
Receipt scans suggest values for you to review. Always check the saved amount, supplier, dates, and tax settings against your purchase record before relying on an expense or adding it to a document.
